HRSuite by Technocity Solutions

Terms of service

These terms govern the use of HRSuite (the "service"), provided by Technocity Solutions ("we", "us"), by the organisation that signs up (the "customer") and the people it invites. By creating an organisation or signing in you accept them on the customer's behalf.

1. The service

The service is hosted human-resources and payroll software. We provide it as it stands on the day, with the features of the plan the customer is on, and we improve it continuously. We may change or retire a feature with reasonable notice where it materially affects the customer.

2. Accounts and responsibility

The customer is responsible for the accuracy of what it enters, for the people it gives access to and for keeping credentials safe. The customer remains the employer of record and is responsible for its statutory filings and payments; the service prepares figures and files from the data it holds, and the customer checks them before filing.

3. Trial, plans and payment

A new organisation starts with a 14-day free trial of every feature. After it, the customer chooses a plan priced per working employee per month, with the plan's minimum, billed monthly in advance in Indian rupees, plus applicable GST. The billed count follows the working headcount at the start of each period. If a payment fails the service continues for 7 days, after which access is limited to billing until it is settled.

4. Cancellation and data

The customer may cancel at any time; access continues to the end of the paid period. We keep the customer's data for ninety days after the subscription ends so it can be exported, then delete it. The customer can export its data at any time from the reports and the organisation export.

5. Data protection

The customer owns its data. We process it only to provide the service, as described in the privacy policy, and we do not sell it. Identifiers, files and face templates are encrypted at rest; access is logged. The customer is the data fiduciary under the Digital Personal Data Protection Act, 2023 for the personal data of its employees, and we act on its instructions.

6. Acceptable use

The service may not be used to break the law, to process data the customer has no right to, or to attack, probe or overload the service. We may suspend an organisation that does.

7. Availability and support

We aim for the service to be available at all times outside announced maintenance and we back up data daily. Support is by email on working days, with a first response within one working day.

8. Liability

To the extent the law allows, our liability for any claim arising from the service is limited to the fees the customer paid in the twelve months before the claim. We are not liable for indirect loss, or for penalties arising from filings the customer made from figures it did not check.

9. Changes and law

We may update these terms with notice inside the service; continued use after the notice is acceptance. These terms are governed by the laws of India, with courts in Kerala having jurisdiction.
